Switching platform is the bit that stops people — not the price. So here is the whole thing, step by step, with nothing left vague.

This isn't a pitch. It's the sequence.

Operators rarely say no because of the monthly fee. They say no because they can picture the mess — the members who fall through the gaps, the bookings that go missing, the fortnight of evenings spent typing. That is the real objection, and it is a fair one. So this page is not a sales pitch. It is what actually happens, in order.

Before your start date

Nothing starts until it's ready to.

You apply and pay online, and we agree a start date with you. Onboarding is scheduled, so you know exactly when it happens rather than waiting on a queue.

A date, agreed with you

You are not put in a queue. We agree a start date together, and that is the date the work begins — so you can plan around it.

Your account manager, by name

One person is assigned to your launch and introduces themselves by name before anything begins. You know who you are dealing with from the first message.

Prepared in advance

Work happens behind the scenes ahead of your date, so everything we can prepare is already prepared when it arrives.

The AML training

Everyone you put on the system does this one. Thirty minutes, and it's free.

Providing a business address makes you a regulated provider under anti-money-laundering law, and that law requires the people approving clients to be trained. It isn't our rule — it's the reason the training exists.

No course to book, no trainer to pay, no per-seat licence. It sits inside the platform and it is done in one sitting.

Every admin you name

From day one — and anyone you add later, a new receptionist included.

It opens the virtual-office panel

They can use the rest of the system straight away. The virtual-office admin panel is where clients get approved, so nobody gets in there until they have passed and our system has signed it off.

The record is kept for you.

A named person, and the date they completed it. It stays in the platform, producible if an inspector asks to see it — you are not hunting through an inbox for it.

The obligation exists whether or not a platform helps with it. We build it in, we keep the record, and it costs nothing.

The timeline

From your start date, you're live within a week.

This is a genuine sequence — each step depends on the one before it. It runs in this order.

    Your account manager makes contact

    Introductions, the plan for the week, and what we need from you. You leave that first conversation knowing what happens on which day.

    The engine is set up and your pages are branded

    We build your platform behind the scenes and dress it in your brand — your name, your colours, your domain. Your members never see ours.

    Day 2

    You send us whatever you have

    An export, a spreadsheet, a PDF, photographs of a paper ledger. It goes to us as it is — you do not tidy it first.

    Day 3–4

    Your locks are pulled, paired and verified

    One hub ID gets us every lock in the building remotely. Then your account manager pairs each lock to each door with you on screen, and you walk the building to verify it.

    Day 4–5

    The guided setup session

    You enter your assets, listings, prices, opening hours and your fiscal identity, with your account manager alongside you on screen. Nothing is guessed on your behalf.

    Within the week

    You go live — and we stay with you

    The migration loads, your pages open to the public, and a follow-up call catches the questions that only appear once you are actually running on it.

Start wherever you like. Adding the virtual office is a setting, not a project.

Open with coworking and switch virtual offices on later, or run virtual offices from day one — including with no space at all. Same platform, same onboarding, same account manager either way. There is nothing to rebuild and no second onboarding.

Then the part that has to be human: your account manager sits with you on screen and pairs each lock to each door, one at a time.

Verified with eyes and ears

You walk the building with your phone while we watch and listen, opening each door as you go — so the pairing is verified, not assumed.

And then it is sealed.

Nobody at your end can re-pair a lock or rename an office afterwards. That sounds like a restriction and it is the opposite: both of those underpin your booking engine, and a well-meaning rename on a Tuesday afternoon is how a booking system quietly breaks.

Your data

Send us whatever you have. In whatever state it's in.

A system export. A spreadsheet. A PDF. Photographs of a paper ledger. Whatever you actually hold, in whatever state it is in. We take it as it is — you do not tidy it up first, and you do not fill in any forms.

Your members, your current and forward bookings come across. Our system does the matching and your account manager checks it before anything loads, including making sure your assets are named the way your people already call them. Typically only a small proportion of rows need a human eye at all.

The virtual-office exception

If you've chosen the virtual office — virtual-office clients are the exception, deliberately.

Flentix Essentials and the full licence both run perfectly well without a virtual office, so this only applies if you sell one. Where you do: a virtual-office client who came from another provider has been through no identity process, and that cannot be applied retrospectively. So they re-subscribe through your own signup, which means every one of them arrives properly identified, on a current address record, with the checks behind them.

Your virtual-office book comes out of this cleaner than it went in.

Separate from the AML training, and not compulsory — this one is encouraged, and it is your call who does it. Not a seat count, not a one-off session on the day: free training for every member of your staff, for as long as you are with us, including the ones you hire next year. It is built into the platform, so a new starter learns it at their own pace instead of waiting for someone to be free.

You pay the onboarding fee when you sign up. Your licence is not charged until the day you go live, and then renews monthly from that date.
